Included with your subscription to QuickBooks Online is access to a mobile app via the Google Play or iTunes store. This app allows you to access up-to-date information from your online account using either your phone or tablet. Available features include the ability to create estimates, invoice customers, collect payments, manage expenses, run reports, and schedule calendar appointments.
Items and services that have been set up in QuickBooks are ready to be used to create invoices and estimates. By having the customer sign on the tablet/phone’s screen, invoices and estimates created with the mobile app can be approved. Once created in the app, the invoice or estimate can be emailed directly to the customer. If you are with a customer, you would be able to have that person approve the estimate, convert it to an invoice and even record collection of the payment all right from your phone or tablet. This could greatly improve sales turnaround.
The payment collection feature included with the app allows your customers to use the Pay Now link to accept payment directly from the invoice. In order for the Pay Now option to work, you must have online payments set up in your QuickBooks Online. Another payment option allows you to bring up the invoice and record payment given to you directly. The system will update, and you can show the customer the change in balance, as well as any remaining outstanding balances.
For managing expenses, the app allows you to snap photos of your receipts and enter them right into Quickbooks Online. The app takes the photo and attaches it to the expense entry. No more lost receipts or failed reimbursements!
